At Certified Translation Services – CTS, the team is committed to delivering accurate and timely translations with full transparency. To ensure a smooth experience for all clients, the following terms and conditions are in place:

1. Service Commitment

Certified Translation Services – CTS is dedicated to delivering accurate, high-quality translations that reflect each client’s specific requirements. Every document is carefully reviewed by experienced linguists/translators to ensure clarity, correctness, and context accuracy.

Before a project is finalized, clients are provided with a draft version of the translation. This allows them to review the work and suggest any necessary changes. CTS encourages client feedback during this stage to ensure that the final document aligns perfectly with the intended purpose.

CTS believes in a collaborative approach—working closely with clients to ensure complete satisfaction before delivery. The team takes pride in maintaining high standards and transparent communication throughout the process.

2. Order Confirmation

An order with Certified Translation Services – CTS is officially confirmed only after two key steps are completed:

• Submission of all required documents by the client
• Receipt of the agreed-upon advance payment

Once these are in place, CTS issues an official order confirmation outlining the full scope of the service, including the expected timeline, pricing breakdown, and any additional services requested (such as proofreading or notarization).

This confirmation ensures that both CTS and the client are aligned on expectations before translation work begins. It serves as the formal agreement governing the project.

3. Delivery Timelines

Certified Translation Services – CTS aims to deliver projects efficiently without compromising on quality. Standard translations (up to 2 pages) are generally completed within 24 to 48 working hours from the time of order confirmation.

However, delivery timelines may vary depending on:

• The complexity of the content
• The language pair involved
• Volume of text or special formatting needs
• Additional services such as proofreading or notarization

CTS maintains open communication and will promptly notify clients of any expected delays or timeline adjustments. The goal is always to deliver accurate, well-reviewed translations within a reasonable and mutually agreed timeframe.

4. Client Responsibilities

To ensure smooth and accurate service delivery, clients working with Certified Translation Services – CTS are expected to fulfill the following responsibilities:

• Provide Clear and Legible Documents: All documents submitted for translation must be readable and complete to avoid errors or delays in processing
• Timely Feedback and Approvals: Clients should review draft translations promptly and communicate any corrections or approvals. This helps CTS meet the agreed delivery timelines.
• Accurate Information Submission: It is the client’s responsibility to ensure that all information shared with CTS—such as personal details, spellings, and context—is accurate and up to date. CTS is not liable for errors resulting from incorrect or incomplete client inputs.

By actively participating in the process, clients help maintain quality standards and support timely delivery of their translations.

5. Confidentiality

Certified Translation Services – CTS places the highest priority on safeguarding client privacy and document security. All documents shared by clients are treated with strict confidentiality throughout the translation process.

Access to client materials is restricted solely to authorized team members directly involved in the project. CTS uses secure communication channels and internal systems to ensure that sensitive information remains protected at all times.

No document or personal information will be shared, published, or disclosed to any third party without the client’s explicit consent, unless required by law.

Clients can trust CTS to handle their data with professionalism, discretion, and respect.

6. Intellectual Property

All content submitted to Certified Translation Services – CTS for translation remains the sole intellectual property of the client. This includes both the original documents and the translated versions.

CTS does not claim, store, or assert any ownership rights over client materials. Once the translation is completed and delivered, full rights to the translated content are retained by the client.

This policy ensures that clients maintain complete control and usage rights over their personal, legal, or professional documents—both before and after the translation process.

7. Amendments to Terms

Certified Translation Services – CTS reserves the right to modify or update these Terms & Conditions at any time to reflect changes in services, legal requirements, or business practices.

Any significant updates that may impact ongoing or future projects will be communicated to clients in advance via email or other appropriate channels. It is the client's responsibility to review the terms periodically to stay informed of any revisions.

By continuing to use CTS’s services after such updates, clients acknowledge and agree to the revised terms.

Cancellation & Refund Policy

Certified Translation Services – CTS understands that clients may need to make changes to their plans. To support flexibility while maintaining fairness, CTS has outlined the following cancellation and refund policy:

1. Cancellation Window

Clients may cancel their confirmed order within 2 hours of placement by reaching out via email or WhatsApp. Cancellations made within this window are eligible for a full refund, no questions asked.

2. Post-Window Cancellations

If a cancellation request is made after the 2-hour window but before translation work has begun, CTS will evaluate the situation. In such cases, a partial refund may be granted at CTS’s discretion, depending on the work already initiated.

3. Refund Processing

Approved refunds will be processed within 5–7 business days and issued through the original payment method. Refund timelines may vary depending on the client's bank or payment provider.

4. Revisions After Delivery

Once the final translated document is delivered, clients are encouraged to review it carefully. Any revisions requested post-delivery that are not due to translation errors may be subject to an additional fee of ₹250 per page.

5. Non-Refundable Situations

Refunds cannot be issued under the following circumstances:

• The translation has been completed in full.
• The client fails to provide required documents or information, resulting in delays.
• Revision requests involve changes to the original content, rather than correcting translation errors.
